Job Overview

The EXIT Administrative Assistant is a vital role to on-going brokerage operations. Your role in the business is to “keep things moving”. This role requires the individual to be adaptable to changing conditions within the business on a day-to-day basis. This person is also the ‘first face’ that agents and clients see when entering the office. This person is enthusiastic, upbeat, inspiring, and is always looking for ways to support the team.

 

The day-to-day requirements of the Deal Secretary are to:

  • Have a clear understanding of the EXIT system.
  • Answer all incoming calls when in-office and connect those callers to the person requested or take an accurate message. Ensure that all messages are delivered promptly and accurately. Always repeat numbers when on the line with callers to improve accuracy.
  • Retrieve and distribute messages from the answering service promptly.
  • Send reminders to sales associates regarding duty time and notify the Administrator if this time commitment is not met. Keep a log of all duty calls received and to whom they were distributed.
  • Record and make appointments for showings. Review any appointments that may not have been completed by the previous shift and attempt completion.
  • Record all new listings into EXIT’s reporting program and also record the listings into the real estate board MLS system.
  • General administrative work for the Broker or Manager and Administrator and Sales Secretary.
  • Keep reception area neat and take an interest in the decoration of the office during special times of the year.
  • Have a good understanding of how the various office equipment is operated and instruct new sales representatives in the proper use of the telephones, fax machine and photocopier.
