Enrollment Specialist

POSITION LOCATION: District Office / Forum

JOB GOAL: To serve as the first, welcoming contact for new families to the Dubuque Community School District and to be the lead resource for district staff and current district families for items related to enrollment and registration.

POSITION QUALIFICATIONS

· Excellent verbal and written communication skills

· Commitment to serving a full, diverse range of individuals and families to support their specific needs and goals

· A positive attitude and commitment to working collaboratively with staff and departments across the district

· Strong understanding of enrollment management principles, including student recruitment and registration

· Experience developing and/or managing institution-wide processes or procedures

· Experience managing student records in, as well as pulling and utilizing data from, an enrollment-based student information system (SIS), with a clear understanding of the importance of confidentiality

· Demonstrated initiative, self-motivation, creativity, independence, dependability, a strong sense of responsibility and respect for producing quality work and meeting deadlines

· Able to problem solve and multi-task with a clear sense of prioritization

· Strong attention to detail and accuracy of work

· Comfort using standard office technology applications (word processing, database, spreadsheets), with willingness to learn new operations or technology as the need arises

· Flexibility in work requirements and willingness to adjust hours as needed

 

POSITION RESPONSIBILITIES

· Coordinate enrollment of all new students to the district while ensuring that all necessary documents and registration materials are received

· Coordinate and schedule Kindergarten and Preschool enrollment and registration in collaboration with Early Childhood staff

· Coordinate and schedule annual Online Registration for new and returning students, including tracking, approving, and necessary follow-up

· Collaborate with the communication team and Dubuque Online School staff to promote Dubuque Online School enrollment and manage enrollment data

· Lead efforts to enhance the district's annual Online Registration process and related systems

· Assist the Superintendent's Office in processing in-district transfers and out-of-district open enrollments for all students

· Serve as the main enrollment contact and resource for schools while also supporting and following-up on inquiries by prospective new families (scheduling tours, providing informational materials, etc.)

· Manage the process and verification for maintaining all legally required student information

· Collaborate with district departments and building personnel to maintain accurate student information and develop data-collection methods in alignment with state requirements or district policy

· Send records requests for new students and complete necessary follow-up to ensure records are received and filed

· Assist with collection, data entry, analyzing and reporting of student data

· Work with the communication team to update enrollment and registration materials, including keeping the registration website and electronic forms current and user-friendly

· Work with the communication team and schools to send enrollment- and registration-related communication to current and prospective families

· Stay up to date on best practices in student enrollment, recruitment and registration

· Perform other duties as assigned

EMPLOYMENT TERMS: Twelve-month contract, 260 days. Salary: $25.30/hour (approximately $52,624 annually). A very attractive benefit package is included.

About the Company

The Dubuque Community School District reorganized in the early 1960's with the surrounding rural area and now serves a population of over 70,000. Presently, we have a student enrollment of approximately 10,120 students. A total staff of 2,522 employees (including 959 certified teachers, counselors and nurses) is presently employed by the Dubuque Community School District. The geographical area the Dubuque District serves is over 245 square miles and the District provides school bus transportation approximately 5,000 students each day.

Eighteen school buildings are utilized to house our educational program: two high schools, one alternative learning center, three middle schools, and twelve K-5 elementary schools. Other facilities are provided for transportation, maintenance, cafeteria, and administration.

Dubuque Public Schools provide a basic curriculum designed to meet the educational needs of children. Special programs include Title I, Learning Resource Services, Special Education, Talented and Gifted, and At-Risk.
