Job Overview

We are seeking a dedicated and reliable Office Services Specialist to manage the daily operations of our site. The ideal candidate will ensure smooth and efficient functioning by adhering to building procedures, assisting guests, and performing various administrative tasks. This role requires strong organizational skills, a hospitable demeanor, and the ability to handle multiple responsibilities in a fast-paced environment.

Key Responsibilities:

  • Open the site and follow established building procedures.
  • Check in guests and connect them with the appropriate clients.
  • Perform administrative work, including preparing weekly reports.
  • Receive packages, log them in, and distribute them accordingly.
  • Create name badges for guests and employees.
  • Assist with special projects as assigned by the client.
  • Receive catering for meetings and ensure it is properly set up.
  • Escort guests to meeting rooms and ensure their needs are met.
  • Understand and operate technology effectively, including typing and using MS Office products.

Required Traits and Competencies:

  • Reliable and dependable with a strong work ethic.
  • Ability to thrive in a fast-paced environment and handle multiple tasks efficiently.
  • Capable of standing on feet for extended periods.
  • Excellent listening skills and ability to follow instructions accurately.
  • Hospitable, with a cheerful demeanor when greeting guests.
  • Effective communication skills to pass on instructions clearly to second shift personnel.
  • Proficiency in sending weekly reports to management.
  • Positive, can-do attitude and willingness to take initiative.

Qualifications:

  • High school diploma or equivalent required; additional qualifications in administration or hospitality preferred.
  • Previous experience in a similar role is advantageous.
  • Proficiency in MS Office products (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to operate standard office equipment and technology.

Working Conditions:

  • Ability to stand for extended periods and perform repetitive tasks.
  • Occasional lifting, bending, and reaching may be required.
