The University seeks a qualified individual to assume the role of Office Assistant for the Physical Therapy department.
This is a 12-month position at 30 hours per week. The Office Assistant is responsible for supporting the faculty within the department. Essential responsibilities include but are not limited to:
- Providing administrative support to Department Chair, faculty, and clinical education team, such as organizing meetings, meeting spaces, travel, and continuing education courses. Other responsibilities of support may include filing, managing invoices, ordering supplies, merging documents, running reports, taking minutes at meetings, and duties as assigned.
- Collaborating with the Chair in correspondence, appointment scheduling, outcomes, data collection and analysis, and tracking budget items. The office assistant also assists in completion of reports for external accreditation agencies and internal departments.
- Effectively responding to phone calls, mail, e-mail, faxes, and in-person inquiries and concerns from students and their families, faculty, staff, administration, suppliers, and employers.
- Significant use of Microsoft Office computer software including: Word, Access, and Excel, PT CPI Web, student information system software, and other internal computer programs.
- Maintaining a professional, educational, and welcoming appearance of offices.
- Exercising confidentiality and discretion on significant student matters.
- Supervising, training, and delegating tasks and provide support for student employee(s).
- Availability on occasional evenings and weekends to support continuing education events.
A High School diploma or GED is required with 1-2 years of general office experience. The successful candidate must have demonstrated experience with MS Office products (Word, Excel) and excellent verbal and written communication skills. The ability to interact with a variety of departments, students, parents, faculty and staff in a positive manner is critical. The candidate must have strong organizational skills with a desire to work independently.
