Key Responsibilities:
- Greet visitors and clients in a warm, friendly manner, acting as the first point of contact for all incoming inquiries.
- Answer and manage multi-line phone systems, directing calls and taking messages as needed.
- Perform general office duties, including managing correspondence, filing, scanning, and handling mail.
- Schedule appointments, maintain calendars, and ensure meetings are properly coordinated.
- Retrieve and promptly distribute messages from the answering service.
- Prepare and process documents, spreadsheets, and reports as required by management.
- Support the team with various administrative tasks, ensuring efficiency and accuracy in day-to-day operations.
- Maintain a clean and organized reception area, creating a professional impression for clients.
- Assist with office supply inventory and order management to ensure the office is well-stocked.
- Manage incoming and outgoing mail and deliveries, ensuring timely distribution.
- Provide support during tax season, including additional hours and mandatory Saturdays.
Skills and Qualifications:
- Strong computer proficiency, particularly in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage multiple tasks efficiently while maintaining a high level of accuracy and attention to detail.
- Strong organizational skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a professional demeanor when interacting with clients and colleagues.
- Self-motivated with the ability to work independently and without supervision.
- Exceptional customer service skills, with a friendly, positive attitude and a commitment to providing a high level of service.
- Adaptable and flexible to changing demands and priorities, ensuring smooth daily operations.
Work Schedule:
- Full-time hours with occasional overtime during peak periods.
- Availability to work additional hours, including Saturdays, during the busy tax season is required.
