Position Overview
We are seeking a highly organized and motivated Administrative Assistant to join our team. This is a part-time, hybrid remote position that allows you to create some of your schedule, requiring approximately 20 hours per week. 2-3 times per week you will be at the main office to organize materials and documents and be at in-person meetings. Additionally, there will be weekly virtual meetings (mornings) and one virtual meeting per month that you must attend to take notes - it is in the evening.
Key Responsibilities
- Meeting Support: Assist in establishing, managing, and recording action items/minutes of Board meetings. Schedule meetings at the request of committee chairpersons and record/transcribe minutes.
- Document Management: Establish and maintain a filing system, both digital and physical, to ensure efficient organization and retrieval of important documents. Must be able to lift a minimum of 40 lbs. be able to work in nature and be willing to clean outdoor wheelchairs and trailers.
- Database Management: Maintain contact lists of all our organization's supporters and create/maintain a database of clients who use our equipment and other data.
- Potential Network Partner Coordination: Schedule check-in meetings with Network Partners and record/transcribe minutes to ensure effective communication and support.
- Grant Compliance: Review grant guidelines and expenditure compliance to help secure funding for our programs.
- Community Engagement: Assist in coordinating relationships and corresponding with donors, partners, volunteers, and interested organizations.
- Online Presence: Assist in updating our website and managing related social media platforms to help us reach a wider audience.
- Additional Tasks: Perform other duties as directed by the organization to support our mission.
Requirements
Qualifications:
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, preferably Google Suites).
- Prefer experience with JotForm or a similar Form tool connecting to online databases.
- Experience with pivotal tables and reporting data.
- Ability to work independently and remotely.
- Previous experience in administrative support roles is a plus.
Location: Remote and in-person attendance for events or meetings as needed.
