The Administrative Assistant is responsible for providing administrative and direct support to assigned department leaders to enhance efficiency of business objectives. This role assumes responsibility for organizational meeting scheduling and maintaining an efficient and practical calendar. Uses business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc. Maintains files, records, and calendars.

Responsibilities
Administrative Duties
- Performs a wide variety of operational support activities.
- Arranges and schedules a variety of meetings; notifying participants, confirming dates and times, reserving meeting rooms, and preparing materials and equipment needed during meetings.
- Maintains accurate and detailed calendar of events, due dates, and schedules related to assigned work unit or program and its services to ensure proper task and activities occur as scheduled.
- Prepares a variety of materials such as spreadsheets, reports, communications, forms, memos, projects, processes, letters, and presentations.
- Performs various clerical duties such as filing, copying, ordering supplies, mailings, and other tasks as needed, to include assisting with payroll timekeeping data entry in Kronos.
- Effectively uses software applications while completing assigned duties.
- Attends and participates in some meetings; may take, transcribe, and distribute meeting minutes as directed.
- Assists other support staff with assigned functions as needed.
- Sets up and trains staff in the use of electronic devices as necessary.
- Receives, reviews, and verifies documents, records and forms for accuracy, completeness, and conformance to applicable rules, regulations, policies and procedures.
- Collaborates with a variety of departments and employees to ensure that workflow is effective and timely.
- Budgets time, schedules duties, and prioritizes in alignment with the mission and operational needs.
- Communicates professionally with both internal and external individuals in a manner that is concise, so objectives are clear and action items are known.
- Independently applies critical thinking and problem-solving techniques.
- Meets measures as determined and required for job productivity and performance improvement.
Basic UPH Performance Criteria
- Demonstrates the UnityPoint Health Values and Standards of Behaviors as well as adheres to policies and procedures and safety guidelines.
- Demonstrates ability to meet business needs of department with regular, reliable attendance.
- Employee maintains current licenses and/or certifications required for the position.
- Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
- Completes all annual education and competency requirements within the calendar year.
- Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.

Education:

High school diploma or equivalent

Associates Degree in business, health administration, related field

Experience:

At least 2 years of administrative/secretarial experience in health care or related field. |

Valid driver’s license when driving any vehicle for work-related reasons.
