Job Overview

Position Summary:

The Administrative Coordinator for the Department of Vocation and Formation supports the mission of Wartburg Theological Seminary by serving as the assistant to the Vice President for Leadership Formation and receptionist to the institution with oversight of guest housing, and coordination of international students. This position will also provide logistical and registration support for department events and activities.

 Major Responsibilities:

  • Serves as the administrative assistant to the Vice President for Leadership Formation.
  • Serve as the International Student Coordinator.
  • Provide coordination, logistics, and registration support for all Department of Vocation and Formation events.
  • Provide application processing and Jenzebar support for the Director of Admissions.
  • Provide data support for admissions and financial aid as needed.
  • Liaison with external partners and provide scheduling support for public events on campus.
  • Manage guest housing.
  • Serve as the primary receptionist for Wartburg Theological Seminary, greeting guests and showing exemplary hospitality.

Requirements:

  • Associates degree and/or experience in administrative support roles or project management.
  • Understand and support the mission of Wartburg Theological Seminary.
  • Ability to maintain strict confidentiality and appropriate boundaries.
  • Exceedingly organized and detail-oriented with the ability to anticipate the needs of guests.
  • Proficiency in Microsoft Office and SharePoint programs.
  • Able to quickly learn the necessary technology and applications used in the Department of Vocation and Formation.
  • Upbeat, friendly personality that can extend welcome and hospitality to constituents, students and guests.
  • Ability to work well with others; be a team player.
  • Excellent oral and written communication skills.
  • Self-starter with ability to think and work with limited direct supervision.
  • Ability to multi-task and prioritize work.
