Job Overview
A local construction company is seeking a detail-oriented Administrative Coordinator to join its team. This role provides accounts payable support to the accounting department and administrative coordination for the Estimating and Project Management teams.
Key Responsibilities
Accounts Payable Support
- Enter invoices into the accounting and workflow management systems
- Perform vendor account reconciliations and communicate with vendors as needed
- Match invoices with rock tickets and order tickets
Estimating Department Administrative Support
- Coordinate bid scheduling and order bid documents
- Assist with bid submissions and prepare bid envelopes
- Maintain and update BidExpress monthly for Iowa DOT lettings
General Office & Administrative Coordination
- Assist with hiring processes as directed
- Enter and maintain vehicle registrations and licenses in internal systems
- Maintain internal employee communication databases
- Update vehicle and equipment registration records
- Perform other duties as assigned
Required Qualifications
- Demonstrated ability to manage multiple priorities with strong attention to detail
- Proficiency in Microsoft Excel and Microsoft Word
- Ability to work independently with minimal supervision
- Strong time management skills; task-oriented with the ability to prioritize and pivot quickly
