Job Summary
The Executive Assistant is responsible for supporting Hirschbach's CEO by providing high-quality executive support. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The Executive Assistant also serves as a liaison to senior management; organizes and coordinates executive outreach and external relations efforts; and oversees special projects pertaining to business and personal matters. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven and community oriented.
Job Duties & Responsibilities
- Completes a broad variety of administrative tasks for the CEO, including managing an extremely active calendar of appointments; composing and preparing correspondences that are occasionally confidential, and arranging complex and detailed travel plans, itineraries, and agendas.
- Plans, coordinates, and ensures the CEO's schedule is followed and respected.
- Researches, prioritizes, and follows-up on issues and concerns addressed to the CEO.
- Prepares documents, presentations, and reports.
- Serves as a liaison to senior managements; organizes and coordinates executive outreach and external relations efforts; and oversees special projects pertaining to business and personal matters.
- Answers phone calls and directs calls to appropriate parties.
- Prepares responses to correspondence including phone calls and emails.
- Organizes various organizational events and activities.
Talent Requirements
- Professional experience as an Executive Assistant or comparable role.
- Advanced knowledge and efficiency of Microsoft Office products including Word, Outlook, Excel, and PowerPoint.
- Demonstrated expert level organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrates the highest level of customer service and response.
- Ability to travel for work engagements and activities.
