Overview

We are looking for a full-time Business Manager to work in our Perioperative Services. Work hours will be days, Monday - Friday from 7:00 am - 3:30 pm, for 80 hours per pay period. You may be required to flex to other shifts as needed.

The Perioperative Business Manager (PBM) provides operational and business leadership alongside the Perioperative Director. The PBM is responsible for management of multiple projects requiring high level analysis and execution that may have hospital wide implications. This position oversees all business processes in Perioperative Services Division with Direct report responsibility.

Responsibilities

Data Management and Analysis

  • Works directly with Perioperative Director and Managers to provide timely and accurate reports on an ad hoc or monthly basis. Reports include but are not limited to: Monthly Block Utilization, On Time Starts, activity trends and utilization management report development.
  • Develops and provides effective and comprehensive data analysis to all perioperative services Director.
  • Block Utilization: Measure, maintain, build, manage and provide recommendations for changes to Perioperative Executive Committee
  • Primary technical support contacts for the EPIC OpTime (exclusive of nursing care documentation) end users, including the System Support Assistants, OR Biller and O.R. Schedulers.
  • Develop, maintain and customize reports to support perioperative services with analysis of utilization trends from various data bases to include Epic OpTime Reporting Workbench and Clarity, Tableau, excel.
  • Provide ongoing optimization of system and reporting capabilities
  • Responsible for development of decision support system utilization management reports consistent with the organizational methodology to support MHS analysis objectives.
  • Responsible for database integrity
  • Assists in writing Reporter Workbench reports to gather surgical data from Epic OpTime on short notice as requested by surgeons.
  • Acts as a primary Clarity report liaison for the perioperative departments.
  • Mentors and delegates as appropriate to data analyst.
    • Work with director, managers and coordinators to understand next year needs.
    • Develop annual budget projection (with the exception of FTE) with managers/directors.
      • Responsible for identifying supply cost savings in conjunction with materials management.
    • Member of Value Analysis Team

OR Billing and Surgical Scheduling Management

  • Provide direct supervision of the EVS, Anesthesia support Tech, SPD, OR Schedulers, and including hiring and termination process.
  • Direct and coordinator perioperative scheduling, management information systems, billing functions, etc.
  • Provide support to the OR HUCs in Epic OpTime and Scheduling Hub.
  • Provide technical support, education and trouble shooting.
  • Serve as a direct resource for Epic scheduling issues/questions and issues for other departments, such as Surgical Admit.
  • Troubleshoot missing charges and potential charge capture issues.

Leadership/Business Processes

  • Provide business and strategic leadership to perioperative staff.
  • Direct and coordinate all aspects of surgical scheduling, including the management and continued education to the OR schedulers, OPTime biller and System Support Assistant.
  • Oversee OpTime Billing workflow and functions.
  • Mentor Direct reports to achieve organizational goals and responsible for achieving a level of shared operational management among physician and managers by bringing together the resources necessary to continuously improve the delivery of services consistent with Finley-Unity Point Health.
  • Identify and implement ideas for continuous quality improvement.
  • Proactively identify issues before they emerge and implement resolution accordingly.
  • Serve as a back-up support to the Epic Clinical Applications Coordinator in his/her absence.
  • Provide back-up assistance in all aspects of accurate patient billing and charging processes for the operating room.
  • Collaborate with hospital billing, case management, revenue cycle department, materials management, physician offices, central scheduling, etc., to identify and correct business process gaps, ensuring optimal reimbursement and financial success.
  • Collaborate with UPH partners to seek out best business practices and implement within Finley-UnityPoint Health.
  • Block Releases and Utilization Management:
  • Build and maintain surgeon/service block times in Epic OpTime to ensure OR scheduling accuracy.

  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
  • Completes all annual education and competency requirements within the calendar year.
  • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.

Qualifications

Education:

Bachelor’s Degree

· Business Management degree

· Masters (MBA, MHA)

Experience:

· 2 years of previous healthcare, business, analytical and/or management

· General knowledge of the budgetary process

· 1 to 2 years’ experience using automated information systems with particular emphasis on database maintenance and management and spreadsheet software. (Excel, Word, Pivot Tables, Power Point)

· 1-2 years’ experience with electronic medical records business functionaliy

· Clinical experience in a perioperative setting

· Hospital budget systems development and management

License(s)/Certification(s):

Valid driver’s license when driving any vehicle for work-related reasons.

· OR Tech or RN

· Epic Certification

Knowledge/Skills/Abilities:

· Knowledge of Epic OpTime Reporters Workbench writing programs or similar

· Strong understanding of OR business processes

· General knowledge of the purchasing process as it relates to procuring supplies and equipment for the department, including but not limited to:

o RFP

o Obtaining equipment quotations

o Capital Request Forms

o Supply Request forms

o Contract Terms

· Well versed in current health care reimbursement trends and changes

· General knowledge of workflows for OR Billing, scheduling, surgical preauthorization process

· Strong understanding of medical terminology

· Strong command and understanding of perioperative electronic medical record including scheduling, charging, report writing, analytics, data structures, preference cards, supply management, etc.

· Excellent organizational skills and the ability to manage multiple tasks and priorities.

· Skilled in continuous improvement cycle

· Excellent communication skills and the ability to drive results in a matrixed environment
