Overview

We are looking for a full-time Manager of Clinical Operations for our Occupational Health department. Work hours will be days, Monday - Friday, for 80 hours per pay period. 

Position is responsible for management and operational effectiveness of UPH Dubuque Occupational Health/Vitacare Clinic. Manages all business operations of clinic, coordinates delivery of services to patients and clients. Represents the products/services of UnityPoint Health
Dubuque Occupational Health/Vitacare within Dubuque and surrounding areas; serves existing clients and secures new clients to ensure continued market penetration and profitability.

Responsibilities

Business Operations

  • Works closely with VP, Clinic Office Supervisor, clerical and billing staff, providers and clinic staff, clients, and business/community leaders to support and grow strategic plan of program.
  • Assumes operational responsibility for occupational health/Vitacare clinic, including development, implementation and monitoring of operating, personnel, and capital budgets.
  • Fiscal management promotes efficient, high-quality delivery of services and programs; flex standards are routinely monitored, with corrective actions developed, as needed.
  • Annually reviews program performance and develops volume, service, and quality goals to set priorities and guide program efforts.
  • Assess and monitors billing and coding functions and processes to insure best practice for accuracy and compliance to standards.
  • Relays and aggregates customer satisfaction survey feedback. Works with appropriate staff toaddress concerns and rectify service issues.
  • Coordinates services with referral agencies to ensure consistency of service provision to employers and patients.
  • Identifies growth opportunities through visioning and environmental monitoring activities.

Client Services/Marketing:

  • Responsible for the successful execution of marketing and billing activities associated with the delivery of services to clients.
  • Supports account development through employee orientation, trade shows and communication methodologies.
  • Participates as a member of a collaborative, creative team to support the initiatives and activities of business development for occupational medicine and corporate wellness.
  • Develops and maintains the relationship marketing database for occupational medicine and wellness to provide information support to clients.
  • Demonstrates the ability to coordinate business development projects.
  • Responsible for marketing new and existing Occupational Medicine and Corporate Wellness programs to clients within the Dubuque area and surrounding communities.
  • Demonstrates initiative to improve quality and customer service.

Management

  • Works collaboratively and cooperatively with UPH Dubuque Occupational Health/Vitacare staff, providers, Medical Director, VP Finance, UnityPoint Health Dubuque Therapy Services, and Administration to foster and promote occupational medicine and wellness services to other departments, case managers and specialist referral practice groups.
  • Integrates and demonstrates FOCUS values and Expectations for Personal and Service Excellence to guide professional behaviors, while adhering to the policies and procedures of UPH-Dubuque.
  • Balances team and individual responsibilities; be open and objective to others views; give and welcome feedback; contribute to positive team goals; and put the success of the team above own interests.
  • Practice reflects knowledge of HIPAA, DOT, OSHA, and other federal/state regulatory agencies guiding healthcare.
  • Demonstrates the knowledge that patient and workplace safety is a priority by preventing errors, accidents and infections and reporting potential or actual concerns immediately.
  • This position may be assigned a specific mission to address in an emergency situation to assist in disaster response and recovery as part of the UPH-Dubuque Hospital Emergency Incident Command System. Situations of a critical nature may require an individual to perform multiple tasks until additional support can be obtained.

Strategic Planning

  • Be aware of what is happening in clinic/department and the organization by attending clinic/department and site lead meetings, reading emails and regularly checking information on the organizations intranet site.
  • Demonstrate initiative to improve quality and customer service by striving to exceed customer expectations.

  • Perform other duties as requested by the organizations management team and the providers to facilitate the smooth and effective operations of the office.

Basic UPH Performance Criteria         

  • Demonstrates the UnityPoint Health Values and Standards of Behaviors as well as adheres to policies and procedures and safety guidelines.
  • Demonstrates ability to meet business needs of department with regular, reliable attendance.
  • Employee maintains current licenses and/or certifications required for the position.
  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
  • Completes all annual education and competency requirements within the calendar year.
  • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.

Qualifications

Education:

 

·         Bachelors degree required OR a combination of education and experience.

·         Business and/or health care management degree preferred.

·         Preferred Masters degree in business or health care management.

Experience:

·         2-3 years of leadership experience 

·         Experience in accounts receivable, to include billing, collection, ICD-9 and CPT coding.

·         Clinical operations experience preferred. 

·         Preferred experience in personnel management, facility management, financial management, budgeting and computers are preferred. Preferred knowledge and experience with process improvement.

License(s)/Certification(s):

·         Valid drivers license when driving any vehicle for work-related reasons.

·         Mandatory Reporter certification.
