Divine Word College is seeking a highly organized and dedicated individual to serve as a Development Office Support Specialist. In this vital support role, you will be an essential part of a team that fosters relationships with generous donors and supports the mission of educating future missionaries.
As the Development Office Support Specialist, you will handle day-to-day clerical tasks, provide exceptional support to visitors and donors, and ensure smooth processing of donations and Mass intentions—all while upholding the confidentiality and integrity of our mission-focused work.
Key Responsibilities:
Office Support & Visitor Assistance
- Greet and assist visitors at the front entrance, helping with Mass requests, Mission League information, and donations.
- Answer phone calls, reserve meeting rooms, and take minutes at Development Office meetings.
Mail Handling & Data Entry
- Collect and sort incoming mail; log and process donations with accuracy and efficiency.
- Enter donor information into the database and generate deposit records and thank-you letters.
Obituary Monitoring & Remembrance
- Monitor local obituaries to update donor records and ensure deceased benefactors are honored in the chapel’s Book of Prayer and with special correspondence to families.
- Coordinate All Souls’ Day mailings for those grieving recent losses.
Donor Club & Mass Intentions
- Support Monthly Donor Club communications by preparing mailing lists and materials.
- Serve on the Mass Distribution Committee and manage Mass intentions received by mail.
Database Management & Reporting
- Maintain accurate donor records, resolve duplicate entries, and prepare mailing lists and reports.
- Assist with Development Office special events and outreach initiatives.
Additional Support
- Provide occasional assistance to the Vietnamese Outreach Office.
- Help with special event coordination, including occasional evening or weekend hours (eligible for overtime).
Qualifications:
- High school diploma or equivalent required; clerical training or relevant experience preferred.
- Strong attention to detail, communication, and organizational skills.
- Proficiency with Microsoft Word, Excel, and donor database software (Donor Perfect preferred).
- Ability to handle confidential information with professionalism and integrity.
- Willingness to work collaboratively in a mission-centered environment.
