Position Title: Practice Marketing Coordinator Effective Date: 03/01/2026
Classification: Hourly Non-Exempt, Regular, “At Will” Work Status
Reports To: Practice Administrator
Working Conditions/Physical Requirements:
- Sitting 80%
- Standing/walking 20%
- Moderate noise levels from Medical and Surgical equipment
- Medical, office, and lab setting
- Exceptional hand dexterity and typing skills to work with standard software programs provided.
- Good Mathematical aptitude in order to prepare and interpret financial referral reports to maintain financial integrity for the practice.
- Near Vision - The ability to see details at close range (within a few feet of the observer) as required for computer data entry and the preparation of treatment plans.
Position Summary: Primary responsibilities are to develop, implement and coordinate a formal marketing program for the practice internally and externally. The Practice Marketing Coordinator will develop and nurture the relationships of referring doctors and staff with the surgeons and staff of GROMS.
Essential Functions:
- Practice Building: Establish open communication with referring doctors and staff.
- Implement and facilitate customer service training programs for the administrative staff.
- Facilitate and coordinate the GROMS referral Spear study club.
- The Marketing Coordinator will coordinate all practice sponsored events.
- The Marketing Coordinator reporting duties as necessary to fulfill the practice-marketing plan, marketing budget and referral reporting requirements.
- Communicate with Practice Administrator and evaluate staff training programs, marketing budget, and various projects.
- Maintain good rapport and cooperative relationships. Approach conflict in a constructive manner. Help to identify problems, offer solutions and participate in their resolution.
- Establish and document policies and procedures for managing internal and external customer service operations including PBHS, patient referral software and Sensei, patient communication software.
- Develop, implement and monitor the GROMS marketing plan.
- Monitor the GROMS practice website/ FACEBOOK/ digital platforms.
- Participate fully with all compliance activities and take responsibility for reporting improprieties to the proper management personnel.
- Provide superior customer service consistent with the mission and values of GROMS.
- Maintain the confidentiality of information pertaining to patients, doctors, referring doctors, employees and visitors to GROMS. Discuss confidential information in the appropriate setting with the appropriate personnel.
- Represent the GROMS practice in accordance with the Mission, Vision and Values of the practice.
Experience and Education:
- Bachelors or Associates Degree in a related field or equivalent experience.
- Minimum three years’ experience including administrative/managerial/marketing background.
Success Factors:
- The individual must be self-motivated, confident, and possess excellent written and oral communication skills.
- Interpersonal skills necessary to initiate and maintain collegial relationship with doctors, practice administrator, and co-workers.
- Analytical skills necessary to perform principal duties and responsibilities of job description.
- Basic computer skills including Microsoft Word and Excel.
