Job Overview

POSITION: Office Assistant

HOURS: 16 hours per week (or more on a seasonal basis), Typical Hours: 10 a.m. – 2:00 p.m. Monday through Thursday. Flexibility of hours needed to cover office when necessary.

REPORTS TO: County Director

WORKING RELATIONSHIPS: County Director, Office Manager, County Educational Outreach employees, Program Specialists, and Regional Director.

 

DUTIES AND RESPONSIBILITIES Including but not limited to:

· Assist with main front office responsibilities, including answering the phone, greeting walk-in clients, mailings, and other clerical duties as needed.

· Provide administrative support for various programs.

· Manage and conduct all background checks for staff and volunteers.

· Work with the County Director in gathering and preparing materials for monthly Extension Council Meetings.

· Manage the Extension Office’s “My Data” system for all Extension programs and events.

· Compiling and sending out news releases.

· Provide administrative support for the annual 4-H fair, especially throughout fair week; providing additional 4-H administrative support as needed.

· Provide 4-H fair support throughout fair season.

· Effectively collaborates with co-workers to work on a variety of projects.

· Other duties as assigned.

· Advanced database management, data entry, and spreadsheet use.

· Excellent customer service skills.

· Ability to work with other team members on a variety of programs and tasks.

· Ability to assist with general office duties including copying, mailing, filing, and computer work.

· Problem solving skills, organizational skills, and ability to work on multiple tasks.

· Demonstration of passion and optimism, to assist in inspiring respect and trust, both within the office and with customers of Dubuque County ISU Extension.

· Maintaining exceptional communication with office team, volunteers, visitors to the office, and youth in a positive and supportive manner.

· Being flexible and adaptable.

 

QUALIFICATIONS

· High School graduate; 2-year associate degree or higher preferred.

· Any combination of clerical office experience equivalent to two years of full-time employment.

· Recordkeeping experience preferred.

· Demonstrated computer skills, including Microsoft Office.

· Must be approved through ISU Extension criminal background check.
