Job Overview
GENERAL DEFINITION OF WORK:
Performs intermediate clerical work assisting with preparing and maintaining various records and files; does related work as required.
Work is performed under regular supervision. Limited supervision may be exercised over subordinate clerical personnel.
TYPICAL TASKS:
- Receives, sorts, processes and distributes incoming and/or outgoing mail and may initiate case files;
- May be required to receive, check, process and file service reports;
- May be required to receive, process, record and audit accounts payable and accounts receivable;
- May be required to assist with budget preparation, bid document preparation and requests for proposals.
- Types correspondence, charts, reports, documents, minutes and related materials;
- Files information, microfilms, retrieves and processes files;
- May be required to prepare and maintain detailed periodic reports, summaries, subpoenas and other related materials;
- May be required to serve as receptionist and customer service clerk, accepts, processes and records transactions.
- Answers telephones on multi-party system, provides information, forwards calls to the appropriate party;
- Assists the public with the completion of standardized forms, applications, records and documents;
- Reviews and audits forms for completeness and accuracy;
- Receives citizen's inquiries, complaints and service requests, and resolves them within the framework of established policies, procedures and laws and ordinances;
- Operates office, typing and data entry equipment;
- May be required to issue various permits and licenses, accept fees and payments;
- Performs related tasks as required.
KNOWLEDGE, SKILLS AND ABILITIES:
General knowledge of standard office methods and procedures, business English, spelling and arithmetic; general knowledge of departmental programs and policies; ability to operate standard office machines; ability to make decisions related to assigned operations; ability to prepare reports; ability to communicate clearly verbally and in writing; ability to establish and maintain effective working relationships with other associates, subordinates and the general public.
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school, basic knowledge of data entry, and considerable experience in general office work involving contact with the public.
SPECIAL REQUIREMENTS:
May be required to be a Notary Public.
