Job Overview

The Aviation Department at the University of Dubuque is seeking an Administrative Services and Stake Holder Relations Manager.  The University of Dubuque offers an excellent benefits package including tuition remission, paid holidays, vacation and sick time, and a retirement match.

Primary Responsibilities:

  • Process bills/vendor invoices daily and enter on spreadsheets and reconcile
  • Ensure budget lines have adequate funds and transfer as needed
  • Create purchase orders for bill paying
  • Tracks employee reviews
  • Prepare and monitor monthly/annual budget and prepare reports
  • Order supplies
  • Manage payment for aviation software products for department
  • Manage BFC door security access
  • Manage Social Media pages for department
  • Flight Schedule Pro administrator
  • Prepare aircraft rates and various paperwork with lessor and FAA
  • Iowa aircraft registrations
  • Manage and track employee equipment needs
  • Liaison to stakeholders
  • Process incoming and outgoing mail
  • Assist with UD Career Fair
  • Manage CFI hours and pay
  • Work with insurance and other businesses supporting aviation operations
  • Perform other duties in support of the aviation department and the University’s Mission

Position Skills and Abilities:

  • Working knowledge of Microsoft business and 365 software
  • Strong communication & interpersonal skills
  • Ability to take the initiative and follow through with tasks individually and as a group
  • Ability to work with a diverse group of students
  • Flexible schedule for when the department has after work hour and weekend requirements
  • The ability to work in an office environment at a desk managing student advising accounts
  • Ability to speak in front of a group

Qualifications:

  • Bachelor’s Degree – preferable business or accounting
  • Two or more years’ experience in the Aviation Industry
  • One year of accounting or business experience
