Summary: Under the supervision of the Dental Clinic Manager (DCM), performs patient scheduling, monitoring of daily provider schedules and walk‐ins, while making patient follow‐up appointments as needed.

 

Essential Duties: Essential job duties for this position include the following items. Other duties must be performed as assigned or required.

 

  • Performs all functions according to CCHC mission and values
  • Schedules patients for dental appointments according to the payer mix indicated by the DCM and according to policy #70‐02 Management of the Appointment System
  • Answers the telephone in a prompt, polite and helpful manner
  • Returns calls to patients within two business hours of receiving message
  • Checks out patients and schedules follow up appointments
  • Displays a caring and helpful attitude when interacting with patients, vendors, and fellow employees
  • Treats all CCHC patients as valued customers
  • Follows established policies and procedures for safety, infection and exposure control
  • Ensures providers are scheduled for the budgeted allotted number of patients daily
  • Asks dental personnel responsible for triage, for assistance with walk‐in urgent care patients, transfer calls for possible urgent care patients to dental personnel responsible for triage, also asks for assistance with difficult scheduling situations
  • Places reminder calls to all new dental patients and patients that do not have cell phone at least one day prior to appointment
  • When scheduling dental appointments, ask patients provider preference and schedule patients consistently with preferred provider
  • Explains visit processes, including items needed for appointment and other information necessary for visit
  • Maintains VNA folder of children that have failed dental appointments
  • Maintains a clean, organized, and safe environment for staff and patients
  • Utilizes time efficiently to maximize productivity and minimize patient waiting time
  • Maintains a friendly, respectful, and professional environment for all patient contacts
  • Maintains a cooperative, helpful work environment within the department, as well as with other departments and employees
  • Maintains confidentiality regarding CCHC, its clients, and employees
  • Accurately and timely schedules appointments, according to clinic protocols
  • Work toward continuous quality improvement.
  • Stay current with changing best practices and technologies.
  • Uphold, support, and promote all company policies and procedures.
  • Perform any additional tasks requested by Dental Clinic Manager.

 

Qualifications: To perform this job successfully, the individual in this position must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the minimum knowledge, skills and ability required.

 

Education/Experience:

  • Highschool diploma or GED required.
  • At least one year of experience in a medical/dental office setting preferred.

 

Language Skills:

  • Communicate clearly, professionally, and respectfully with all patients and staff.

 

Mathematical Skills:

  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

 

Reasoning Ability:

  • Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems.
  • Ability to deal with nonverbal symbolism (formulas, scientific equations, graphs, musical notes, etc.,).
  • Ability to deal with a variety of abstract and concrete variables.

 

Certificates, Licenses, Registrations:

If certified, completion of credentialing and privileging requirements.

Pre-employment drug testing and background check required.
