Typical Day in the Life
A typical day as a Tax Administrative Assistant might include the following:
- Answer phones with professionalism, greet clients and direct them to the correct person.
- Work with spreadsheets, track data in a database, time record keeping and client maintenance.
- Assist office administrator, partners, managers and staff with all office activities, including: coordinating client meetings, scheduling appointments, and composing correspondence.
- Review, sort and route incoming mail; distribute outgoing mail.
- Order and stock supplies.
- Assist with accounts receivable and collections
- Run office errands when necessary.
- Coordinate catering for meetings
- Manage and prioritize incoming workflow to meet all deadlines in a deadline-focused environment.
- Make arrangements for various meetings via conference calls, videos conference and webcasts.
- Lead support for return processing.
- Responsible for organizing incoming Tax client information.
- Print and assemble final versions of tax returns for corporations, individuals, partnerships, payroll, nonprofit and financial institutions.
- Electronically track and save returns according to Firm Guidelines.
- Administrative support for printing outsourced financial statements, sales tax returns, and payrolls.
- Assist Audit administrative support in off-season.
- Comfortability using Microsoft Teams and share screens to communicate with your Team located in other offices.
- Open to new challenges and assist with special projects as requested.
- Have regular and predictable attendance.
Who You Are

- You are a multi-tasking master, and there has never been a deadline you could not meet.
- You hold yourself to the highest professional standards and maintain strict client confidentiality.
- You are highly proficient in Microsoft Office (Word, Excel and Outlook). Power BI and Salesforce experience a plus.
- You have strong written and verbal communication skills.
- You love collaborating and being part of a team but also enjoy working alone with limited supervision.
- You preferably have experience working in a professional service or accounting firm.
- In addition to all of this, you have a high school diploma with 3+ years of past administrative support experience or an Associate's degree, and you are willing to work overtime.
Must be authorized to work in the United States now or in the future without visa sponsorship.
