This is a Hybrid Role with a schedule of Monday, Wednesday, and Friday in the office and Tuesday and Thursday working remotely.
Hybrid will be granted after an initial successful 60-day onboarding period
Primary Objective: To achieve the goals outlined in the company mission statement, the objective will be to work in the following areas to drive overall HR initiatives.
This key position will serve in many roles, high organizational skills, excellent communication skills, and the ability to manage multiple projects effectively and with high quality are required.
Front Office
Corporate office receptionist, duties include:
- Greet visitors, and answer phones.
- Help process incoming and outgoing location mail as needed for the accounting department and assist the HR team with general filing and mailing projects
- Processing of donation requests coming from management
- Customer/member mailings including board-related communication packets, quarterly & annually.
- Assist with corporate administrative duties including projects from other department managers as necessary
- Schedule availability and service on the administration-assigned company vehicle(s) as needed.
Department of Transportation (DOT) Safety/Recruitment
DOT
- Administration of legal compliance for DOT driver file documents; including monthly reporting to management on outstanding items needed to maintain legal compliance and updating of the ADP HRIS system.
- Administration of random drug testing program, including coding of monthly expenses associated with background checks and routine DOT-required items for employees.
- Routine maintenance of JJ Keller Learning Management System, and ADP Training areas
Recruitment/Onboarding:
- Recruiting – Drive recruitment of hourly FT, Seasonal employees, and FT salaried employees for the Northwest and Northeast regions of IAS with backup support from and for the Southwest and Southeast regions as needed.
- Hirebridge Applicant Tracking System expert with the ability to train others on the use of the product.
- Work with the Communications Director and other HR team members on recruitment marketing ad pieces, including the creation and placement of some ads as needed. Will code recruitment invoicing for payment.
- Work in the HireRight background platform on a routine basis.
- ADP Onboarding platform expert with the ability to hire new hires in the system and train others on the use of the ADP product
- Partner with the HR Team on managing the IAS Internship program and High School and College Outreach programs. Support the HR team in building relationships with educational and community sources to build an applicant pool for short and long-term sourcing for future employees. Attend Job Fairs, Networking events, etc. to build branding of IAS as an employer.

Other Duties as Needed
- HR Coach – application of handbook policies to help coach and aid supervisors in employee documentation.
- Ability to work in all HRIS platforms.
- Support Company training initiatives as needed.
- Write reports out of the ADP HRIS system to support management.
- Content management of electronic and paper files
- Other duties as assigned to support HR team and company initiatives.
Knowledge, Skills, Abilities:
- Undergraduate degree in human resources, and/or the equivalent of education and experience. Minimum of 3 years’ experience.
- Multi-line phone experience
- Is professional and displays a high level of initiative, detail, effort, and commitment toward completing assignments with quality, efficiency, and timeliness.
- Strong collaborator, ability to communicate information or ideas effectively in written or oral form. Strong people skills.
- Ability to organize, deal with change effectively, and work on multiple tasks concurrently while managing deadlines.
- Microsoft Office Suite programs, including Word, Excel, PowerPoint, and Publisher a plus.
- Previous HRIS experience a plus
Physical Requirements/Environmental Adaptability:
- Requires static strength to lift, push, pull, or, on occasion, carry objects with a minimum weight of 50 pounds. Also, flexibility to bend, stretch, twist, or reach with your body, arms, and/or legs. Some tasks involve repetitive motion.
