Job Description
Responsibilities include preparing invoices for payment in a timely manner using general accounting practices within our payable system. Enter payables and credits, verify amount, vendor, code and location. Administrative duties include providing a wide variety of advanced clerical, administrative support to Office Manager and Buyers. Work is sometimes complex and confidential.
Qualifications
- High school diploma or GED
- Minimum of 6-12 months of related duties
Key Responsibilities
- Prepare and process all invoices with accuracy within full compliance of company policies and procedures
- Review, verify, and process credits on a timely basis
- Review invoices and credits for accuracy and research and follow up with buyers, store associates, and vendors when discrepancies occur
- Process payments by discount due date to maximize savings for the company
- Match up invoices to receiving audits and reconcile statements
- Work with other departments at all levels of the organization to assist in resolving AP issues and improving work efficiencies
- Perform other tasks and various administrative tasks as needed or assigned by management
Required Knowledge, Skills, and Abilities

- Experience with M-Files and AS400 a plus but not required
- Familiar with accounts payable, and basic bookkeeping and accounting principles
- Ability to calculate figures and amounts such as discounts, percentages, and volume
- Proficient in Word, Excel, Outlook and Power Point, as well as knowledge of spreadsheets and database software
- Ability to use a calculator and do 10-key data entry to input financial or number-based information
- Strong written and verbal communication skills
- High degree of self-motivation
- Excellent attention to detail and able to meet deadlines with accuracy
- Excellent organizational skills with the ability to plan, prioritize and organize a diversified workload with multiple priorities
- Ability to work well under pressure and flexible to perform duties as volume deems necessary
- Ability to identify, analyze and solve complex problems
- Exhibit a high level of integrity and business ethics
Physical Demands
Frequent physical demands include sitting, standing, walking, dexterity, and light grasping. Occasional physical demands include lifting up to 25 lbs., bending, stooping, reaching, kneeling, squatting, climbing stairs and firmly grasping. The employee is required to accept incoming calls and must be able to hear and speak. Specific vision abilities required by this job include vision adequate for the incumbent to perform the responsibilities and functions of the job efficiently. The associate must have the manual dexterity to manually operate and use a computer and other basic office equipment.
Work Environment and Working Conditions
This position will be performed inside a climate-controlled office facility. The noise level is low to medium and typical of an office environment. Potential hazards include electrical hazards. Atmospheric conditions are typical of an office environment and may include exposure to odors and dust.
