OFFICE COORDINATOR
DIRECT HIRE: $37K-$42K/YEAR
LOCATION: DUBUQUE, IA
Principle Responsibilities: Office Coordinator is primarily responsible for bookkeeping/financials, payroll & benefits, and administrative and other office tasks as assigned. This position reports to the Director of Strategic Resources.
Principle responsibilities will include, but are not be limited to:
Bookkeeping/Financials

Accounts Receivables

Accounts Payables
-
Bank Deposits
-
Monthly Reconciliations
-
Assist with budget projections and tracking income & expenses

Grant expenditure reports & reimbursements
-
Year end documents and reporting including annual gambling/sales tax, retirement plan & testing, W-2s, 1099s, and 990
Payroll & Benefits
-
Lead administration and tracking of all employee benefits
-
Maintain personnel files, including QuickBooks, and work with partners at as needed
-
Timesheets, PTO tracking, and mileage forms
-
Back up for bi-weekly payroll, including retirement deferrals, as needed
-
Employee benefits enrollment, tracking, and terminations
Administrative

General daily office tasks, such as filing and mail pick up and disbursement

Ordering and storage of maintenance & office supplies
-
Travel & meeting logistics
-
Maintain office equipment, inventory new equipment, and track all assets
-
Storage and disposal of documents including HR and grants documents

Understand & assist with partner agreements, lease agreements, MOUs, and insurance certificates
-
Building and grounds oversight, including working with service providers as needed
-
Prepare necessary materials for board meetings, attend scheduled meetings, and take notes
Qualifications: Experience in an education-focused nonprofit. This person must possess accounting and organizational skills. Must demonstrate an ability to communicate effectively with diverse populations. Must have experience working with students and families and thrive in a fast-paced work environment. Strong interpersonal, oral, and written communication skills are required.
