Job Overview

The Office Clerk provides administrative and clerical support to the Design and Construction team. This role ensures smooth office operations, assists with scheduling, record-keeping, and documentation, and supports the team in daily operational needs.

Essential Duties and Responsibilities
  • Work with equipment providers to secure preferred rental rates and ensure all equipment needs are met.

  • Reserve equipment for crews as required for each job.

  • Assist with scheduling and coordinating travel arrangements for crews and construction managers, including flights, hotels, rental cars, equipment, trash disposal, on-site restroom facilities, and other job-related necessities.

  • Assist in creating and managing team expense reports, including collecting receipts and invoices and applying them to the correct expense report.

  • Maintain and update departmental spreadsheets.

  • Enter reorders, credit memos, and other items pertinent to the department.

  • Track PM notes in the Epicor system.

  • Ensure proper documentation is accurate and uploaded in computer systems, including Epicor or other project management software.

  • Follow up on any past-due items as necessary.

  • Perform other tasks or responsibilities as assigned by the Design and Construction Manager.

Qualifications
  • Knowledge of basic construction and OSHA safety procedures.

  • Effective oral and written communication skills.

  • Exceptional customer service skills.

  • Proficient in inputting, updating, and extracting information from computer systems.

  • Ability to research problems and implement solutions.

  • Skilled in data entry and retrieval.

  • Strong record-keeping and organizational skills.

  • Intermediate to advanced proficiency in MS Office Suite.

  • Ability to maintain confidentiality of company information and documents.

  • Strong mathematical skills.

  • Excellent attention to detail.

  • High School Diploma or equivalent; college education preferred.

  • Ability to read, analyze, and interpret general business reports.

  • Ability to write reports, business correspondence, and procedure manuals.

  • Ability to effectively present information and respond to questions from managers, clients, customers, and the general public.
