Position Summary:

The University of Wisconsin-Platteville is seeking a full-time Department Assistant to support the Psychology and Environmental Sciences and Society (ESS) Departments. This position plays a key role in maintaining departmental operations, providing administrative and clerical support, assisting faculty and students, and coordinating logistics for academic programming and events. The Department Assistant ensures smooth daily functioning by managing communications, maintaining records, tracking budgets, and supporting faculty and department initiatives.

Responsibilities:

Administrative and Office Support

  • Serve as the primary point of contact for departmental inquiries (phone, email, visitors)
  • Maintain department spaces, bulletin boards, and office supplies
  • Collect, distribute, and track syllabi, office hours, class schedules, and event information
  • Update committee lists and coordinate elections
  • Schedule meetings, prepare agendas, and record minutes

Academic and Course Coordination

  • Assist department chair with class scheduling and rotation planning

  • Coordinate prospective student visits in collaboration with Admissions

Event and Program Coordination

  • Support student programs (e.g., Psi Chi Honor Society, Psychology CFE placements)
  • Assist with faculty and guest travel arrangements and reimbursement

Financial and Purchasing Oversight

  • Track and monitor departmental budgets, including special course fees and Foundation funds
  • Manage purchasing and payment of supplies, services, and contracts via ShopUW, WISER, and P-cards
  • Reallocate expenses and reconcile financial transactions

Technology, Facilities, and Operations

  • Submit IT and maintenance requests; coordinate equipment purchases
  • Manage office devices (e.g., copier/printer)
  • Assist with onboarding new employees (e.g., keys, supplies, business cards)

Supervision and Communication

  • Hire, train, and supervise student workers as needed
  • Support the creation and distribution of the annual Psychology Department newsletter

• Maintains professional acumen through active association with professional organizations; attends in-service educational programs and department meetings.  Meets CME requirements as set forth by the ARDMS to remain in active status.
• Assists in the clinical instruction of allied health students, medical students and physicians, and evaluates new equipment and products for possible future use. And Assist team with phones, transferring patients, scheduling, reporting or other necessary duties.

QUALIFICATIONS:
Work experience and knowledge of standards and procedures as they relate to ultrasound normally acquired
through graduation from a program accredited by the Joint Review Committee on Education in
Diagnostic Medical Sonography. Possesses and maintains ARDMS (American Registry of Diagnostic Medical
Sonographers) Registry in Obstetrical/GYN, Abdomen and Physics or completes within 18 months of hire.
Experienced in Vascular and Echo cardiology is preferred.  Current BLS & CPR.

This is a remote position open to applicants authorized to work for any employer within the United States. This is a Project Status Worker (PSW) role with an end date of 09/30/2027.  

What you will be doing:

  • Plan and develop culturally responsive, relevant, and sustaining content (including learning objectives, content, activities, and instructional supports) for teacher and student materials–including print, digital, and media projects.
  • Demonstrate strong understanding of elementary (PreK–5) pedagogy and content.
  • Produce accurate, error-free, high-quality products that meet curriculum standards and market requirements and display appropriate content, reading level, grammar, and style.
  • Conduct quality assurance testing of digital assets within a variety of authoring tools, digital platforms, and applications.
  • Communicate with fellow team members about project progress and develop solutions to address issues.
  • Work closely with Academic Design grade level lead and Academic Design Manager to develop high-quality digital and print content based on specific product requirements for programs and understand the blended curriculum and instructional solution design.

We’re looking for someone with:

  • 5-7 years of elementary product development experience; degree in elementary education.
  • 5 or more years of elementary classroom experience.
  • Detail oriented and able to edit a variety of materials both digital and print in a timely manner.
  • Ability to communicate with fellow team members about project progress and develop solutions to address issues.
  • Ability to create, visualize, and lay out content for various delivery formats and classroom settings.
  • Knowledge of McGraw Hill’s Online Learning development processes and platforms, specifically OLP and Bento is preferred.

The pay range for this position is between $54,600 – $67,000 annually, however, base pay offered may vary depending on job-related knowledge, skills, experience, and location.
