Description
Medical Associates Clinic is hiring a Purchasing Assistant at our West Campus location. This position will provide purchasing and distribution services of ordering and receiving inventory for Medical Associates Clinic and Health Plans.
Schedule/Hours: The position is full-time, 40 hours per week, full-benefits eligibility. This person is scheduled Monday - Friday between the hours of 8:00 am - 4:30 pm. Some flexibility available.

Role Overview: Purchase and receive medical and non-medical products and equipment ensuring order and delivery accuracy. Solicit bids and quotes from vendors to ensure most cost-effective pricing. Maintain warehouse catalog and assist in sales and functions of warehouse. Work directly with requester and or department managers regarding ordering concerns such as incomplete requests, backorders and supply shortages. Work directly with vendors and manager on concerns or changes to purchasing or distribution processes.
Essential Functions & Responsibilities:
- Receive all product, ensuring the ordered quantity and product is the correct quantity and product received. Ensure items are received within the inventory system as well as distributed to departments accurately and timely for all Medical Associates entities.
- Place orders with vendors at the request of the departments in a timely manner while prioritizing the importance of each request and business need. Contact vendors regarding purchase order discrepancies, returns and credits for all Medical Associate entities
- Investigate and resolve all incorrect billings or Purchase Order discrepancies for all Medical Associate affiliated entities & accurately document this within the financial approval system. Maintain warehouse and asset catalogs as well as assist in warehouse sales & functions.
- Solicit bids or quotations from suppliers as well as research product from multiple vendors to ensure purchased product is at the most cost-effective prices
- Work directly with requester and/or department managers regarding ordering concerns such as incomplete requests, backorders & supply shortages.
- Assist in maintaining & enforcing standardization efforts for the organization as well as perform periodic physical inventories under the direction of manager.
- Keep management informed of problems, changes and other pertinent information concerning the purchasing and distribution of products.
- Complete all other assigned projects and duties.
Experience: One to three years of similar or related experience.
Education: Equivalent to a high school diploma or GED.
Other skills: Understanding of computer software programs including inventory management, Microsoft Office products, and fluency navigating the internet is preferred.
Physical Aspects:
Stooping - Bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.
Standing - Particularly for sustained periods of time.
Kneeling - Bending legs at knee to come to a rest on knee or knees.
Crouching - Bending the body downward and forward by bending leg and spine.
Reaching - Extending hand(s) and arm(s) in any direction.
Standing - Particularly for sustained periods of time.
Walking - Moving about on foot to accomplish tasks, particularly for long distances.
Pushing - Using upper extremities to press against something with steady force in order to thrust forward, downward or outward.
Pulling - Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.
Lifting - Raising objects from a lower to a higher position or moving objects horizontally from position-to-position. This factor is important if it occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles.
Fingering - Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand or arm as in handling.
Grasping - Applying pressure to an object with the fingers and palm.
Feeling - Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
Talking - Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly or quickly.
Hearing - Perceiving the nature of sound with or without correction. Ability to receive detailed information through oral communication and to make fine discriminations in sound, such as when making fine adjustments on machined parts.
Vision - 20 / 40 or better in the best eye with or without correction
Medium Work - Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or 10 pounds force constantly to move objects.
Environmental Conditions:
Subject to Physical Hazards - Includes a variety of physical conditions, such as proximity to moving mechanical parts, electrical current, working on scaffolding and high places, exposure to high heat or exposure to chemicals.
