Purchasing & Materials Coordinator
Advance Pump and Equipment, Inc. has over 30 years of experience designing and manufacturing vacuum tank trucks and trailers. We work closely with our customers to deliver high-quality, customized solutions. We are looking to add a Purchasing & Materials Coordinator to support our operations team.
This role is a hands-on position supporting purchasing, inventory, and day-to-day coordination with vendors and internal teams to keep production moving.
Key Responsibilities
- Review order requirements and generate purchase orders, including any necessary adjustments
- Maintain inventory levels and ensure accuracy within the system
- Monitor and manage daily shortage lists to support production needs
- Follow up on open purchase orders to ensure on-time delivery and resolve delays
- Communicate with vendors via phone and email regarding orders, pricing, and delivery status
- Request quotes and assist with vendor comparisons as needed
- Troubleshoot inventory discrepancies and assist in resolving issues
- Coordinate with scheduling, production, and engineering to address material needs and shortages
- Process bill of materials (BOMs) from engineering and ensure accuracy in the system
- Update pricing and vendor information as changes occur
- Ensure defective or incorrect materials are returned or corrected with vendors
- Maintain shop supplies and floor stock levels
- Support freight coordination and help ensure cost-effective shipping decisions
- Assist with general administrative and operational support as needed
Qualifications
- 2-year degree preferred; relevant experience will be considered
- 1–3 years of experience in purchasing, supply chain, logistics, or a related field
- Experience working in a manufacturing or fast-paced environment is a plus
- Comfortable communicating with vendors and internal teams
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and shifting priorities throughout the day
- Experience with ERP systems is helpful but not required
- Proficient in Microsoft Office (Excel, Outlook, etc.)

Position Details
- Position Type: Full-Time Salary
- Compensation: $50,000 – $62,000 (based on experience and education)
- Location: Peosta, IA (Near the Dubuque Fairgrounds)
