Job Overview

Summary 

The individual in this position reports to the Traffic Manager and is responsible for arranging and coordinating shipping of freight and other tasks as assigned.

Essential Duties and Responsibilities

  • Schedule carriers for pickup and delivery of customer orders.
  • File claims with carriers as needed.
  • Audit freight bills from carriers.
  • Respond to inquiries from customers, sales, project managers, and customer service regarding delivery schedules and unloading requirements.
  • Respond to and document customer complaints about carriers and drivers.
  • Generate reports and Bills of Lading.
  • Route return freight.
  • Classify SKUs according to National Motor Freight Classification shipping specifications.
  • Enter and retrieve data from multiple software computer systems.
  • Assist various departments by providing information on shipping requirements and costs.
  • Process claim checks and apply correct invoice and account.
  • Scan and save documents onto the server.
  • Perform other tasks as assigned.

  • Knowledge of domestic and international shipping standards and regulations.
  • Knowledge of company inventory control systems and administrative policies and procedures.
  • Knowledge of company contracts with suppliers and other delivery vendors.
  • Ability to apply regulations, policies, and procedures to specific shipping orders.
  • Ability to keep and update records.
  • Ability to read and follow written and verbal instructions.
  • Ability to input and retrieve data from computerized systems.

Education and/or Experience                                                   

  • High School Diploma or equivalent
  • One year experience in a clerical position
  • Must have communication skills appropriate for the job
  • Ability to follow instructions
  • Must be able to work with minimal supervision

Language Skills                                                

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Must also have the ability to understand transportation equipment, including, but not limited to: truckload, parcel, flatbed, step deck, container, and LTL.

Mathematical Skills                                                     

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  

Computer Skills  

Ability to use Microsoft Office applications including Word, Excel, and Outlook and Power Point and be proficient in these applications.                                                                              

Other Qualifications         

Must be safety conscious and follow all safety guidelines.

While performing the duties of this job, the employee may be required to stand, walk, and sit. They may also be required to do light lifting, carrying, pushing, pulling, kneeling, crawling, climbing, and squatting. Must be able to lift up to 20-50 lbs.

The noise level in the work environment is usually moderate to high and mostly working in an office environment but may need to work in the warehouse, manufacturing areas in both hot and cold temperatures as needed to perform job responsibilities.
